WebCheck Background Checks:

What is WebCheck and how does it work?

The National WebCheck system is a cooperative effort between the Ohio Bureau of Criminal Identification and Investigation (BCI&I) and the Federal Bureau of Investigation (FBI) that allows law enforcement agencies to offer the service of statewide and nationwide background checks to civilians. With this system, the Union County Sheriff’s Office can conduct civilian fingerprint background checks through Ohio’s Automated Fingerprint Identification System (AFIS) and the FBI using the internet. It electronically transfers fingerprints and other data to BCI&I located in London, Ohio and BCI&I compares the information against fingerprints and criminal histories to determine if there is a criminal record.

What is required for a WebCheck background check to be conducted?

  1. You must have a valid photo I.D.
  2. You must have all fingers and thumbs to be checked through the National WebCheck system.
  3. You must sign a release form for the background check.
  4. You must provide a specific reason code – a series of numbers and/or letters that define the reason why you need fingerprinted. Please refer to the person or organization requesting the WebCheck background check for the specific reason code you need. The Union County Sheriff’s Office cannot assist you in finding the correct reason code.
  5. You must provide a mailing address within the state of Ohio to receive the results of the WebCheck background check OR indicate a “Direct Copy” option for the results of the WebCheck background check to be sent electronically to a state board.

The Union County Sheriff’s Office will accept Webcheck background check appointments Monday – Friday, between the hours of 10:00 AM – 12:00 PM and 1:00 PM – 4:00 PM. Appointments will not be scheduled on recognized holidays and APPOINTMENTS ARE REQUIRED.

You are encouraged to complete a Request for Background Check via Electronic Fingerprinting Form prior to arriving at the Union County Sheriff’s Office.

When will the results of the Webcheck background check be available?

State law allows 30 days to process WebCheck background checks. Fingerprint quality and common names can affect the processing time. If you have not received your WebCheck background check results within 30 days, you can contact BCI&I to check the status of your WebCheck background check at 877-224-0043.

Can I request a copy of my WebCheck results?

A request for a copy of your WebCheck background check may only be submitted if your original background check was processed for working with children, working with the elderly, or certain types of licensing. You may request a copy of your BCI&I results, but FBI results are not permitted to be sent to any address other than what was requested at the time of your original background check. To obtain your FBI results, a new FBI background check will need to be submitted. If you are unsure if you can request a copy, please contact BCI&I at 877-224-0043 for further information.

A Request for Copy of Ohio Background Check form must be filled out and sent to the Civilian Identification Office at BCI&I. If the request is made within 30 days of the original background check, there is no fee for processing and the request can be faxed to 740-845-2633. If the request is made more than 30 days after the original background check, the fee is $8 and is payable by money order, certified check, business check, or personal check to Treasurer, State of Ohio. No cash will be accepted. The request form and payment can be mailed to BCI&I, PO Box 365 in London, Ohio 43140.

Ink Fingerprinting:

Although WebChecks have become mandatory for all background checks as a replacement to ink-rolled fingerprint cards, there will be occasions when an ink-rolled fingerprint card will need to be done, and BCI&I will evaluate these requests on an individual basis. A waiver form will need to be filled out and sent along with the ink-rolled fingerprint cards. The waiver form and instructions are available on the Ohio Attorney General website at http://www.ohioattorneygeneral.gov/Business/Services-for-Business/Webcheck.

The Union County Sheriff’s Office can conduct ink fingerprinting Monday – Friday, but hours will vary. Please call to check availability and schedule an appointment at 937-645-4103 ext. 4468.

Local Criminal Background Checks:

Local criminal background checks can be obtained through the Records Office at the Union County Sheriff’s Office. It will not include any other record of arrest made by another jurisdiction – local, state, or federal. To request a local criminal background check, a Local Record Check Form must be filled out with name, date of birth, and social security number to ensure the background check is being conducted on the correct person. However, it is only a check by name and not by fingerprints so therefore is unverified as to the true identity of the person.

Results from the local background check will only show the offense, date of offense, and the name of the court where the charges were filed. You will need to check the disposition(s) of the case(s) through the respective courts. Felony cases can be checked online on the Clerk of Courts website at https://www.co.union.oh.us/Public-Records-Search-Apps/, misdemeanor cases can be checked online on the Marysville Muncipal Court website at http://municourt.co.union.oh.us/recordSearch.php?k=searchForm8020, and Juvenile cases must be checked in person at the Union County Juvenile Court offices located at 215 W 5th Street in Marysville, Ohio.

Local criminal background checks are available in person Monday – Friday between the hours of 8:00 AM – 4:00 PM. Appointments are not required. You may also fax requests for local criminal background checks to the Union County Sheriff’s Office, Attn: Records at 937-645-4171. If you have any questions, please call (937) 645-4103, ext. 4468.1.
